Job Description

The Provider Operations Coordinator primary function is to support the provider in all onboarding areas and ensure ongoing provider and program success. The Provider Operations Coordinator will manage the ongoing day-to-day processes between departments related to provider management to include; maintaining physician and assigned hospital schedules, provider Self-scheduling portal, updating shared data sites, and routinely engaging in duties related to provider success.

Duties and Responsibilities

Serve as the primary day-to-day point of contact for an assigned panel of providers, building trusted working relationships that support engagement, satisfaction, and long-term retention

Set clear expectations with providers one-on-one regarding schedules, facility protocols, and RPG policies, confirming that instructions are understood and consistently followed

Lead a structured cadence of check-ins — monthly with individual providers and quarterly with the full provider team by program — to review coverage commitments, performance, and compliance, and to surface concerns before they escalate

Capture insights gathered through daily provider contact and communicate them to operations, recruiting, and program leadership so that trends in provider satisfaction, coverage risk, or facility dynamics are addressed proactively

Onboarding and Orientation

Manage end-to-end onboarding for providers new to RPG and to individual programs as assigned, coordinating across credentialing, licensing, privileging, systems access, and travel logistics so providers are fully prepared for their first shift

Coordinate on-site orientation at the assigned program or facility, partnering with hospital leadership and the local Chief Hospitalist on introductions, facility tours, and systems training

Brief incoming providers on facility-specific critical success factors, workflows, key pressure points, and stakeholder relationships so they can integrate quickly and practice effectively from day one

Scheduling and Coverage

Maintain the day-to-day scheduling processes that guarantee uninterrupted provider coverage at partner hospitals 24/7, 365 days a year

Assess program coverage needs and build schedules that guarantee each provider is assigned their minimum shift commitment while balancing stated availability, facility requirements, and continuity of care

Publish and distribute completed schedules to hospital partners on the 15th of the preceding month, and issue revised schedules promptly as changes occur

Identify and close coverage gaps 180 days or more in advance through automated tracking and early provider outreach, minimizing last-minute vacancies

Administer the Provider Self-Scheduling Tool and drive adoption through hands-on training, ongoing coaching, and regular exposure, increasing provider autonomy and reducing manual scheduling work

Issue Resolution and Escalation

Field provider concerns and non-standard requests, investigate root causes, and resolve or recommend solutions within established policy

Escalate appropriately by engaging Regional Medical Directors, Regional Program Directors, and local Chief Hospitalists on issues requiring leadership involvement, and follow through to resolution

Reporting, Data & Compliance

Report shift changes, cancellations, and adjustments accurately and on schedule to support timely and accurate provider payroll

Monitor and minimize incremental and premium pay, reporting drivers and trends to the Director on a weekly basis as needed

Maintain accurate provider contact information and program records in shared sites and systems

Maintain adherence to all RPG operational, scheduling, and compliance protocols and policies

Collaboration

Partner with team leaders, managers, and department heads across the organization to advance operational goals and support program growth

Qualifications

2+ years experience in a similar role

Able to handle moderately complex issues and problems

Strong attention to detail

Excellent oral and written communication skills
