Job Summary

The Finance & HR Specialist serves as a key member of the Business Operations team, owning the day-to-day financial, payroll, and people operations functions of the organization.

This role is responsible for ensuring accuracy, organization, and efficiency across invoicing, billing quality control, employee and contractor administration, payroll support, and HR operations.

This individual partners closely with external partners to ensure smooth financial operations while supporting the employee and contractor lifecycle from onboarding through offboarding.

Duties/Responsibilities

Financial Operations

Own the invoicing and billing quality control process to ensure accuracy and completeness prior to invoice submission

Review timesheets, bill rates, pay rates, markups, expenses, and billing data for accuracy

Coordinate invoice corrections and resolve billing discrepancies with internal teams

Serve as the primary operational liaison with the Company’s external accounting and finance partners

Support payroll processing activities and payroll audits

Assist with financial reporting requests

Maintain financial records, reports, and supporting documentation

Process and track employee and contractor expense reimbursements

Support workers’ compensation audits, insurance audits, and client audit requests

Facilitate and own accounts receivable follow-up and collections activities

Payroll Administration

Support payroll processing activities and payroll quality control reviews

Ensure accurate collection and validation of timekeeping records

Process payroll changes including new hires, terminations, compensation changes, deductions, and garnishments

Serve as the point of contact with payroll-related inquiries from employees and contractors

Support the implementation and administration of an internal payroll function

HR Operations and Program Support

Coordinate employee and contractor onboarding and offboarding activities

Administer background checks, employment verification requests, and onboarding documentation

Maintain employee personnel files and HR documentation in compliance with company policies and applicable laws

Administer and coordinate benefits administration activities including enrollments, changes, and qualifying life events

Support open enrollment activities and communications

Track policy acknowledgements, required training, and compliance requirements

Assist with unemployment claims administration and workers’ compensation documentation

Maintain HRIS data integrity and employee records

Support the development, implementation, and continuous improvement of HR programs, policies, and processes

Coordinate employee engagement initiatives, recognition programs, and culture initiatives

Support special projects and strategic initiatives as assigned by leadership

Qualifications/Requirements

Associate’s or Bachelor’s degree in Business Administration, Human Resources, Accounting, Finance, or a related field preferred

3+ years of experience in accounting administration, payroll administration, human resources administration, business operations, or a related role

Experience owning and supporting invoicing, billing, payroll, accounts payable, accounts receivable, or financial administration activities

Experience supporting employee onboarding, benefits administration, personnel records management, and other HR administrative functions

Experience working with HRIS, payroll, accounting, or ERP systems.

Experience working with QuickBooks

Experience supporting multi-state employees and contractors preferred

Experience within staffing, professional services, consulting, or project-based organizations preferred

Strong written and verbal communication skills

Ability to prioritize multiple competing deadlines in a fast-paced environment

Knowledge of payroll processes and practices

Knowledge of general accounting principles and financial administrative practices

Ability to maintain confidentiality and exercise sound judgement

Strong customer service and relationship management skills

Ability to identify discrepancies and resolve issues proactively

Ability to document and improve processes and workflows

Ability to establish priorities and demonstrate a strong sense of urgency

Ability to adapt to changing business priorities and organizational needs

Ability to manage multiple projects and priorities simultaneously while meeting deadlines

Strong proficiency in Microsoft Excel and reporting tools
