Position Summary

We are seeking a highly capable, tech-savvy Executive Assistant to support a fast-paced executive overseeing a growing team of 85 employees. This role requires sharp judgment, extreme reliability, and the ability to operate at speed with minimal instruction.

You will work directly with the Partner as a true right hand. Instructions will often arrive incomplete or in shorthand, and the output still needs to be right. The ideal candidate is proactive, analytical, and comfortable working with senior leaders who move quickly, communicate briefly, and expect precision.

What We're Looking For

Must-Haves

Adaptive execution. You don't need perfect instructions. You fill in gaps, make decisions, and course-correct on the fly.

Relational intelligence. You build trust easily, read between the lines, and manage relationships with warmth and professionalism.

Comfortable with speed. You thrive in fast-paced environments. Urgency energizes you rather than overwhelms you.

Low ego, high ownership. You are not territorial. You care about outcomes, not credit.

Judgment under ambiguity. You can prioritize when everything feels urgent and make sound calls without full context.

Ideal Profile

High Sociability. Naturally connects with people and manages relationships effortlessly.

Moderate to High Consistency. Brings structure without rigidity and can pivot when priorities shift.

Moderate to High Precision. Catches details that matter without getting stuck in perfectionism.

Moderate to High Intensity. Matches the Partner's pace and is comfortable moving quickly.

Moderate to High Emotional Resonance. Reads emotional dynamics and provides a stabilizing presence during high-pressure moments.

Key Responsibilities

Email and Communication

This is the center of the role.

Manage, triage, categorize, and organize the Partner's inbox in Microsoft Outlook

Learn the Partner's voice, priorities, and relationships well enough to draft responses on his behalf

Draft replies for review, and send directly in defined situations once trust is established

Distinguish what genuinely needs the Partner's attention from what does not, and handle the rest

Keep the inbox clean, current, and free of dropped threads

Executive and Business Support

Provide high-level administrative and operational support

Manage complex calendars, including syncing and coordinating multiple calendars

Implement and manage scheduling automation and scheduling assistant tools

Support both professional and occasional personal tasks as needed

Act as a trusted partner who can keep pace with rapid decision-making

Meetings, Notes, and Follow-Through

Attend meetings, take clear and structured notes, and capture decisions and action items

Proactively follow up on tasks, deadlines, and commitments after meetings

Track priorities and ensure nothing falls through the cracks

Follow up on behalf of the Partner in predefined situations

Systems, Tools, and Technology

Work confidently across a modern tech stack, including

Microsoft Office Suite

Microsoft Teams

Calendar and scheduling tools

Zoho or a similar CRM

Adobe for document handling and organization

Fathom for meeting recording and retrieval

Password vault tools

AI tools such as Claude, ChatGPT, and Gemini, used to improve efficiency, documentation, and analysis

Data, Analysis, and Organization

Support basic data analysis, reporting, and information synthesis

Organize and maintain executive documentation and knowledge systems

Ensure information is current, accurate, and accessible

Confidentiality and Reliability

Handle sensitive information with absolute discretion

Maintain strong security practices, including disciplined password management

Operate with a high level of accountability in a role that supports leaders who cannot afford execution failure

This role does not include access to financial systems, banking, or treasury functions.

Qualifications

Required

Proven experience as an Executive Assistant

Exceptional organizational and follow-through skills

Ability to operate at high speed with incomplete direction

Strong written and verbal communication skills, including the ability to write convincingly in someone else's voice

Comfortable working independently and making judgment calls within scope

Tech-savvy and confident learning new systems quickly

Ability to take ownership and perform under pressure

Comfort working with AI tools for productivity and analysis

Preferred

Experience using CRM tools such as Zoho

Experience supporting a founder or managing partner

What to Expect

This role requires flexibility, resilience, and comfort with constant change. You will work closely with a visionary, high-energy firm Partner who operates at altitude and moves fast. Your ability to stay grounded, keep things moving, and bring warmth to the chaos will be your greatest asset.

If you need predictability, clear boundaries, or step-by-step direction, this role will be exhausting. If you thrive on variety, love solving problems in real time, and want to be at the center of the action, this could be the right fit.

Requirements

This is a full time role

Rate is $7-$8/hr

100% Remote
