This position is in the Supreme Court of the United States, Police Force Administrative Services Unit. The Executive Assistant for the Police Force reports to and receives general direction and supervision from the Administrative Services Unit, Administrative Officer.
However, the individual will directly support the Chief of Police, Deputy Chief of Police, and other Police Leadership staff as designated by the Chief of Police or their designee. The incumbent regularly works with Police leadership to draft written materials and perform a variety of special and complex assignments on behalf of the Chief of Police.
The Executive Assistant's core responsibilities include assisting the Police Executive Team (e.g., Chief of Police, Deputy Chief of Police, and Captains) with compiling reports, responding to inquiries, reconciling and tracking information, and drafting and managing correspondence.
Other major duties include: project management, budget tracking and contracting responsibilities; managing office administration including calendars, schedules, meetings, and travel; research on specialized topics; assisting with other program areas within the department; and providing back-up support with clearance requests, badging and fingerprinting.
At times, the incumbent may be responsible for driving executives, documents, supplies, or equipment to and from events. The incumbent may perform other duties as assigned.
A minimum of four years of office experience is required. Experience working successfully under pressure in a busy office is preferred. Outstanding attention to detail, strong organizational skills, tact, and a courteous demeanor are required. Proficiency with Microsoft Excel and Word is required.
Experience working in a police force, security, or judicial environment is preferable, but not required. Valid driver's license is required. Knowledge and Skills: Strong organizational, communication, and administrative skills, along with proficiency in office software, and the ability to handle complex information.
Key knowledge areas include departmental policies and procedures, federal contract management, booking travel, and records management. Crucial skills involve multitasking, independent judgment, maintaining confidentiality and positive interpersonal interactions with diverse individuals.
Considerable skill in: Following complex and varied oral and written instructions. Establishing and maintaining effective work relationships with associates and the public. Operation of office and computer equipment, including working knowledge of databases, spreadsheets, and word processing software.
Understanding and interpreting policies, directions, and procedures applicable to the Supreme Court, Marshal's Office, and Police Force. Must be able and willing to drive a motor vehicle with passengers to work events.
