ABOUT RSI SECURITY
RSI Security is a cybersecurity audit and compliance firm that helps organizations, including defense contractors pursuing CMMC compliance, protect their information and meet regulatory requirements. We are looking for a detail-oriented, experienced Bookkeeper to own the day-to-day accounting operations that keep our finance function accurate, current, and audit-ready.
POSITION SUMMARY
The Bookkeeper is responsible for the full scope of day-to-day bookkeeping and accounting operations in QuickBooks, excluding client invoicing. This role owns accounts payable processing through Bill.com, sales commission calculation and payment tracking, and the ongoing management of prepaid expenses, accruals, and deferred revenue.
The Bookkeeper also plays a lead role in the monthly close process and supports year-end close, tax preparation, and audit activities. This is a hands-on role requiring strong technical accounting skills, sound judgment, and the ability to work independently.
KEY RESPONSIBILITIES
General Ledger & QuickBooks Management
Maintain and reconcile all QuickBooks accounts, including bank and credit card accounts, and ensure the chart of accounts is accurate and well-organized.
Record and review journal entries, ensuring transactions are properly classified and supported.
Maintain accurate, well-organized supporting documentation for all entries and transactions.
Own all bookkeeping functions in QuickBooks other than client invoicing and accounts receivable generation.
Accounts Payable & Bill.com
Process vendor bills and payments through Bill.com, including bill entry, coding, approval routing, and payment execution.
Maintain vendor records, resolve billing discrepancies, and monitor open AP for accuracy and timeliness.
Reconcile Bill.com activity to QuickBooks on a regular basis.
Commissions
Calculate and process sales commission payments in accordance with the company's commission plan.
Maintain commission tracking schedules and reconcile commission expense and payable balances.
Coordinate with sales leadership and finance on commission questions, adjustments, and clawback tracking as applicable.
Prepaids, Accruals & Deferred Revenue
Maintain prepaid expense schedules and record monthly amortization entries.
Identify and record accrued expenses and accrued liabilities each month.
Maintain deferred revenue schedules, ensure revenue recognition ties to underlying contracts and milestones, and reconcile the deferred revenue balance monthly.
Month-End & Year-End Close
Lead the monthly close process, including a close checklist, account reconciliations, and supporting journal entries.
Prepare account reconciliations and variance analysis, and flag anomalies for review.
Support year-end close activities, including annual reconciliations, 1099 preparation and filing, and coordination with the payroll provider on W-2-related items.
Support external accountants, auditors, and tax preparers with schedules, documentation, and requested reporting.
Process & Controls
Follow and help strengthen internal controls and accounting policies to safeguard company assets and maintain data integrity.
Identify opportunities to improve bookkeeping processes, close timelines, and QuickBooks/Bill.com workflows.
Assist with ad hoc financial reporting and analysis as requested by finance leadership.
REQUIRED QUALIFICATIONS
Minimum of 5 years of hands-on bookkeeping or staff accounting experience.
Strong working knowledge of QuickBooks (QuickBooks Online preferred), with demonstrated experience managing the full accounting cycle.
Direct experience with Bill.com for accounts payable processing.
Solid understanding of accrual-basis accounting, including prepaid expenses, accrued liabilities, and deferred revenue.
Proven experience owning or substantially supporting monthly close and year-end close processes.
High attention to detail and a strong record of accuracy in a fast-paced environment.
Excellent written and verbal communication skills.
Ability to handle confidential financial information with discretion.
PREFERRED QUALIFICATIONS
Associate's or Bachelor's degree in Accounting, Finance, or a related field, or equivalent practical experience.
Experience calculating and tracking sales commissions.
Experience supporting external financial statement audits or tax preparation.
WHAT RSI SECURITY OFFERS
A stable, growing company in the cybersecurity compliance industry; a collaborative finance team; and the opportunity to own a meaningful, high-visibility function within the business. Compensation and benefits will be discussed based on experience.
