The Opportunity

We are seeking a detail-oriented and experienced Payroll Specialist to join our growing team.

The Payroll Specialist will be responsible for processing accurate and timely payroll for employees across the organization. This role will work closely with HR, Finance, Operations, and management to ensure employee hours, pay rates, deductions, taxes, and other payroll-related information are processed correctly.

The ideal candidate will have strong payroll experience, excellent attention to detail, and hands-on experience using Viventium or a similar payroll and HRIS platform. Experience supporting employees in a fast-paced distribution, logistics, warehouse, or transportation environment is highly desirable.

This position is remote and offers you the flexibility of working from home.

What You'll Do

Process weekly, biweekly, or other scheduled payroll cycles accurately and on time.

Use Viventium to process payroll and maintain accurate employee payroll records.

Review employee time records, hours worked, overtime, PTO, and other payroll-related information.

Ensure accurate processing of regular pay, overtime, bonuses, commissions, reimbursements, and other applicable payments.

Maintain and update employee payroll information, including pay rates, deductions, direct deposit details, and tax withholding information.

Review payroll reports and reconcile discrepancies before finalizing payroll.

Investigate and resolve payroll discrepancies, missing payments, incorrect deductions, and other employee payroll concerns.

Respond to employee and management inquiries related to payroll in a timely and professional manner.

Work closely with HR to ensure new hires, terminations, promotions, compensation changes, and employee status changes are accurately reflected in payroll.

Coordinate with Operations and management to verify employee hours and attendance information.

Ensure payroll processes comply with applicable company policies, tax requirements, wage and hour regulations, and other relevant requirements.

Maintain accurate payroll documentation and records while ensuring confidentiality of sensitive employee information.

Assist with payroll reporting, audits, reconciliations, and year-end activities as needed.

Identify opportunities to improve payroll processes, accuracy, and efficiency.

Support other HR, Finance, or administrative functions as required.

Qualification & Experience Required

Proven experience as a Payroll Specialist, Payroll Administrator, Payroll Coordinator , or in a similar payroll-focused role.

Hands-on experience processing payroll using Viventium is strongly preferred.

Experience with another payroll or HRIS platform may be considered, with the ability to quickly learn Viventium.

Strong understanding of payroll processes, including

Employee hours and timekeeping

Overtime calculations

Payroll deductions and withholdings

PTO and leave tracking

Employee compensation changes

Payroll reporting and reconciliations

Experience processing payroll for employees in a logistics, distribution, warehouse, transportation, manufacturing, or other high-volume operational environment is preferred.

Strong attention to detail and a high level of accuracy.

Excellent organizational and time-management skills, with the ability to meet strict payroll deadlines.

Strong problem-solving skills and the ability to investigate and resolve payroll discrepancies.

Proficiency in Microsoft Excel or Google Sheets.

Ability to handle confidential and sensitive employee information with professionalism and discretion.

Strong written and verbal communication skills.

Ability to work independently while collaborating effectively with HR, Finance, Operations, and other internal teams.

Service Fee

Industry standards applicable to the state depend on work experience and level of expertise.

Hours

US Eastern Standard Time (EST) - Monday to Friday, 9 am to 6 pm
